Reproducing images from Imaging Services

When we provide you with images from these collections, you are agreeing to follow our terms of use. These allow you to use the digital images for non-commercial and academic purposes without having to request permission from us.

Reproducing images in electronic and/or printed form

You should only reproduce or publish images if you have the appropriate permissions in place. If your use is academic and the print run is below 3,000 copies, you will not need to apply for additional permission from us because this is covered by our terms of use.

If you plan to reproduce the images in an electronic and/or printed format for non-academic use, you must apply to us separately for permission to use the images.

Standard fees for each are given on the form.

When reproducing images from our collections, please credit the Bodleian Libraries as the source of the material as follows:

'Bodleian Libraries, University of Oxford [year of first publication by the Licensee]’, with the shelfmark and folio or page number or other Bodleian reference as given.

Copyright and images

Our collections include both in copyright and out of copyright (public domain) material. Our terms of use apply whether the underlying materials are in copyright or the public domain. Our copyright guidance includes more information about how long copyright lasts and how you can act legally.

If the material you want is still in copyright and the copyright is owned by someone else, you will need to do one of the following:

  • determine that your use falls under the definition of ‘non-commercial research or private study’ and complete the Copyright Declaration on page 5 of the order form;
  • get permission from the copyright owner to receive and reproduce the image.

Data protection and personal data concerning living persons

When using our archives and manuscripts you must:

  • respect the confidentiality of any data subject (assuming a lifespan of 100 years)
  • not identify data subjects without their permission
  • not use personal data in such a way as to damage or cause distress to any data subject
  • not use personal data to support measures or decisions in respect of living people
  • anonymise identities whenever possible when note-takin, and in the results of your research
  • be aware that you are responsible for compliance with the Data Protection Act 2018 in relation to the secure storage and processing of any personal data obtained from the Libraries’ collections.

You must dispose of this data in an appropriate manner when it is no longer required for your research. Further guidance on the Act can be found on the Information Commissioner’s Office (ICO) website.
