ORA Policies

The following is a list of policies which should be created, agreed and implemented to ensure ORA has clear and transparent methods of operation. All policies should be made freely available. Policies are working documents and will be updated and amended in response to changes in circumstances.

Content Policy

Defines the materials which can be submitted to and stored in ORA. Deposit of an item should not infringe any rights.

  • Collection development

Retention, Replacement and Withdrawal Policy

Defines what will be accepted, retained or removed from ORA, and to whom disputes should be referred. It also states that depositors may request that an item is replaced by another version.

Submission Policy

This policy sets out the criteria for who is eligible to deposit materials in ORA. It gives details of ORA policy for metadata quality, and access to and dissemination of materials held in ORA. It sets out the minimum standards for what depositors should submit and the checks and editing which will be undertaken by ORA staff. There are specific policies for theses.

  • Deposition rules (eg full text/metadata)
  • Quality control (moderation)
  • Embargo
  • Metadata editing and enhancement 

Services Policy

Defines the services offered by the Bodleian Libraries/ORA staff to support end users (readers and depositors and administrators) within Oxford to help them use ORA easily and efficiently. 

  • Training for use of the repository
  • Information services for users (eg events and information sources)
  • Publicity & information policy (internal & external)
  • Support services such as a helpdesk
  • Mediated deposit service and other services (eg checking metadata)
  • Service level agreements
Statistics Policy Statistics for ORA will be generated, collected and collated and users as an analytic tool to inform members of the University of the extent of the dissemination, visibility and access to Oxford research materials via ORA.
